1.0 PROGRAM GOALS

We exist to future proof our cities and environment. Our strategic pillars support our purpose, and the People and Culture pillar includes a commitment to continue to make extraordinary efforts to attract, lead, develop and retain the best professionals to become the premier professional consultancy in our industry. With a belief that talent is attracted to our organization because of existing relationships, this program is designed to promote the hiring of qualified candidates that are referred by WSP employees.

2.0 SCOPE

This policy applies to all WSP USA employees.

3.0 PROCESS AND GUIDELINES

Employees are encouraged to refer qualified candidates who are inspired by WSP’s purpose, exhibit our Guiding Principles which help define our culture, and are motivated to give their best. Utilizing our employee referral portal (https://wspusa.employeereferrals.com), employees can view all open roles, along with the referral amount associated with the role. Employees click on the specific role and forward it to the person they wish to refer. If the individual clicks the link and applies, the referral is associated with the employee. If the individual is hired, and the role and employee meet eligibility requirements, a referral bonus is paid. The following are to be noted:

Referrals are generated when an Employee sends a link to the individual(s) they wish to refer, and by adding a few short pieces of qualifying information about the individual (name and email) in the portal. However, only one referral bonus will be paid for each individual.
The referral is registered when the individual being referred clicks the link from the Employee and completes the application process.
The same individual may be referred by multiple employees to the same, or different roles.
Referrals are only registered based on the link/invitation the candidate chooses to use when they complete their application. This will be the final determining factor in assessing a reward.
No bonus will be paid for “Social” referrals, meaning if you share a position from the portal to social media (i.e., Facebook, LinkedIn, Twitter) and people apply through social media, they are not considered referral bonus eligible.
No bonus will be paid for the hire of any candidate referred outside of the portal, or for the hire of a candidate referred/invited but not registered via the portal.
No bonus will be paid for the hire of any individual already in the hiring process at the time of the referral.
WSP employees may not complete applications on behalf of individuals they wish to refer.

3.1 Referral guidelines and payment

GRADE/PRIORITY REFERRAL BONUS AMOUNT

Grade 7 (P-, T-, or A-) - see Employee Referrals site for amount

Operational, Strategic (Grade 8 and above) - see Employee Referrals site for amount

Critical (Grade 10 and above) - see Employee Referrals site for amount

While referrals are always welcomed and encouraged, bonuses will only be paid for roles deemed eligible. A referral bonus is earned when the new hire completes six months of continued employment. Once earned, the payout is initiated through the payroll process. The referring employee must be an active employee at the time of the referral bonus payment.

3.2 Referral guidelines and payment

All candidates are eligible to be referred as part of this program excluding the following:

Current employees of WSP are not considered referable candidates
Previous employees of WSP (including Interns or any companies that have been acquired) who have leftwithin 24 months Consultants and independent contractors
Interns
Part-time employees
Candidates that have been submitted to WSP by a third party within the previous 24 months

3.3 Participation exemptions

While individuals in the following positions are excluded from receiving referral bonuses, they are still encouraged to refer talent to WSP in keeping with our efforts to attract, develop and retain top talent under our People and Culture pillar:

Anyone working in a supervisory/management capacity who has direct or reporting responsibility for the new hirebeing referred
Anyone involved in the hiring process/decision
Family members of the new hire
Members of the Human Resources team
Independent contractors or consultants
Interns
Grades 15 and above

4.0 CONFIDENTIALITY

The treatment of an application is confidential. Referred candidates will be updated on the progress of their application by the Talent Attraction team member handling the open position. When a referred candidate is hired, the employee credited with the referral, will be notified.

5.0 PROGRAM ACCOUNTABILITY

Human Resources is responsible for the oversight, communication and administration of the Employee Referral Program.

Hiring Managers are responsible for ensuring timely feedback is provided to Talent Acquisition for all submitted candidates.This ensures a positive candidate experience, which is a reflection of the employee who made the referral.

The Chief Human Resources Officer reserves the right to make any final decisions regarding the eligibility, payout and any other condition of the employee referral.
